Summary
We are looking for a detail-oriented and enthusiastic Onboarding Specialist to manage the onboarding process for new employees. The ideal candidate will be responsible for ensuring a smooth transition for new hires into the organization, helping them feel welcomed, informed, and supported as they begin their journey with us. You will play a key role in enhancing the employee’s experience from day one by providing comprehensive guidance and resources throughout the onboarding process
Duties/Responsibilities
- Facilitate Orientation for Fall River and Warren new hires.
- Plan, organize, and execute all aspects of the orientation program, ensuring it aligns with the company’s goals and culture and core values, including booking venues, arranging refreshments, and managing any necessary technology or equipment.
- Coordinate scheduling, logistics, and content delivery for orientation sessions, both in-person and virtual.
- Develop orientation materials such as handbooks, guides, presentations, and videos that provide critical information to new hires.
- Collaborate with HR, and other stakeholders to ensure all relevant content is covered during orientation.
- Provide an overview of the organization’s culture, values, policies, and key programs.
- Help orient new hires to their departments, teams, ensuring they understand expectations, resources, and opportunities.
- Support onboarding processes by partnering with hiring managers and the administrative team to ensure new employees are properly welcomed and immersed in culture.
- Create collateral using Canva to help communicate initiatives.
- Responsible for daily briefings, arranging meetings, conferences, and calendar management
- Actively engage with employees and lead as a source of hospitality.
- Support Executive Support team as necessary for special projects.
- Serve as a resource for questions or concerns that new hires may have during their transition period.
- Maintain records of orientation attendance, feedback, and any follow-up actions taken.
- Report on the success of the orientation program and any trends or challenges identified.
- Coordinate the creation and distribution of welcome kits or materials for new employees.
- Oversee the smooth running of any social or networking events designed to help new hires connect with one another.
- Continuously evaluate and update orientation materials and activities based on feedback, trends, and best practices.
- Analyze feedback and make recommendations to improve the onboarding process for future new hires.
- Efficiency in Microsoft Office, Excel, SharePoint, Teams, UKG, Workplace and Canva.
- Act as a Culture Champion engaging with all levels of employees.
- Analyze onboarding metrics (e.g., time to productivity, retention rates) and provide recommendations for improvement.
- Stay up-to-date on best practices and trends in onboarding to keep the process engaging and effective.
- Generate presentations summarizing impact and progress on onboarding initiatives to communicate findings to relevant stakeholders.
- Provide front desk coverage when necessary
- Assist with ad-hoc projects that further enhance the employee and customer experience.
Requirements
- Two or more years working within an onboarding, customer service environment or experience working in an office environment.
- Bilingual skills in English and Spanish
- Proficient computer skills and knowledge with Canva, Microsoft Office – Excel, Outlook & PowerPoint
- Excellent knowledge of standard office administrative practices and procedures
- Strong interpersonal skills supporting communication via phone, e-mail, and in person
- Event planning or event execution experience would be valued highly but not necessary.
- Program management skills, with the ability to develop and facilitate engagement initiatives.
- Excellent communication and interpersonal skills, with the ability to build and maintain relationships with internal and external stakeholders.
